How Tappd handles data.
Plain information about the business, customer, WhatsApp, payment, record and workflow data Tappd may process.

Tappd uses data to provide WhatsApp-first business workflows: quotes, bookings, payment links, records, reminders, evidence packs and review requests. We do not sell customer data. We do not use customer conversations to train AI models beyond the immediate service interaction. Outputs are proposed first and business users stay responsible for checking and confirming them.

What data Tappd collects
We may handle different data depending on whether you are a business using Tappd or a customer/contact of that business.
For business owners and staff, we may collect:
- Name, business name, phone number, email address and business address.
- Business setup details, including service types, opening hours, VAT status where relevant, and account preferences.
- WhatsApp messages, voice notes, photos, documents and instructions sent to a Tappd workflow.
- Jobs, bookings, quotes, invoices, payment records, compliance records, reminders, review requests and publish drafts.
- Support messages, account activity and technical logs needed to operate and secure the service.
For customers, contacts or clients of a Tappd business, we may process:
- Name, phone number and contact details supplied through WhatsApp or by the business.
- Booking details, job requests, quote details, payment status, receipts and customer follow-up history.
- Photos, notes, property details, site records, dietary requirements, service preferences or other details shared with the business where relevant to the workflow.
- Review request status and opt-out status.
Why we use this data
We use data to provide the Tappd service requested by the business. This includes:
- Receiving and sending WhatsApp messages connected to business workflows.
- Turning messages, voice notes and photos into proposed actions such as bookings, jobs, records, reminders, quotes, invoices and evidence packs.
- Preparing payment links, receipts and payment reminders where the business uses payment features.
- Drafting review requests, Google Business Profile posts or social captions where Publish features are enabled.
- Helping the business keep a useful memory of previous interactions, completed work, cancellations, records and follow-up.
- Operating, securing, debugging and improving the service.
Service providers we use
We share data only where needed to provide the service, process payments, host data, deliver messages or support connected workflows.
- Twilio for WhatsApp message delivery.
- Anthropic Claude for AI-assisted extraction and drafting.
- Stripe for payment links, receipts and payment status where payment features are enabled.
- Supabase for database storage and related backend services.
- Google Business Profile, where a business connects its profile and asks Tappd to help draft or manage related content.
We may also use hosting, security, email or support tools needed to run the service. We do not sell personal data.
AI-assisted drafts and human confirmation
Tappd may use AI to extract details from WhatsApp messages, voice notes and photos, and to draft useful outputs. AI output is proposed data. A business user is expected to review and confirm outputs before relying on them, sending them, saving them as final records or using them for customer follow-up.
Customer conversations are not used to train AI models beyond the immediate service interaction.
How long we keep data
We keep data for as long as needed to provide the service, support the business account, keep useful business records, meet legal or accounting needs, resolve disputes, secure the service and honour opt-outs.
- Confirmed business records may be kept while the business account remains active or while the business needs them for record keeping.
- Drafts, unconfirmed outputs and technical logs may be kept for shorter periods where they are no longer needed.
- Payment and invoice-related records may need to be retained or anonymised rather than fully deleted where the business has a legitimate retention need, such as tax, invoicing or dispute records.
Deletion and account closure
Customers or contacts can request deletion through the business they interacted with, or by contacting Tappd at info@tappd.ie. We may need to verify the request and coordinate with the relevant business before deleting records connected to that business.
Businesses can close their Tappd account. On closure, Tappd can delete or anonymise account data where appropriate. Some records may be retained or anonymised where the business has a legitimate need to keep them, including financial, invoicing, tax, dispute or compliance evidence records.
Your rights
Under data protection law, you may have rights to:
- Access personal data held about you.
- Correct inaccurate data.
- Request deletion, subject to legitimate retention needs.
- Object to or restrict processing.
- Request a copy of your data in a structured format.
- Withdraw consent where processing is based on consent.
